Job Overview

The Warehouse Officer will ensure the efficient and effective management of IRC's inventory and asset functions in the organization's Yola office in Adamawa State.

The position plays an important role in maintaining accurate inventory records, ensuring appropriate storage conditions, supervising warehouse activities, supporting stock distribution, and maintaining proper documentation.

The officer will also contribute to asset management activities, including physical verification, asset tracking, transfers, disposal, maintenance, and reporting.

Key Responsibilities

Warehouse and Inventory Management

The successful candidate will be responsible for ensuring that warehouse operations comply with IRC's established policies and procedures.

Key duties include:

• Conducting periodic cycle counts in accordance with standard operating procedures.
• Leading fiscal year-end stock inventories.
• Preparing accurate stock inventory reports.
• Supporting programmes to establish reliable stock distribution plans.
• Helping prevent the accumulation of expired or closed-grant items.
• Providing ongoing training and support to storekeepers.
• Monitoring stock-keeping records and storage conditions.
• Ensuring the security and maintenance of warehouse facilities.
• Supporting the receipt, handling, storage, dispatch, and reporting of goods.

The Warehouse Officer will also maintain authorizations for personnel responsible for receiving and dispatching goods.

Materials Receiving and Dispatch

The officer will receive and document materials from suppliers and other sources and inspect goods during the receiving process.

Responsibilities will include updating relevant documentation and working with the Supply Chain Manager to provide programmes with information about stock levels and potential shortages.

The successful candidate will also organize appropriate cold-chain arrangements and ensure that temperature-sensitive items are handled correctly.

When goods are dispatched, the officer will inspect materials and update the relevant dispatch documentation.

The position will also support the management of Contribution in Kind (CIK) items and closed-grant inventory.

Warehouse Documentation and Controls

Maintaining accurate warehouse records is a key responsibility of this role.

The officer will maintain the warehouse activity book or warehouse register for incoming and outgoing goods and other warehouse activities.

Other duties include:

• Keeping the Warehouse Authorization Schedule updated.
• Participating in year-end inventory counts.
• Participating fully in 20% inventory cycle counts.
• Conducting internal inventory checks.
• Maintaining appropriate records.
• Applying FIFO, FEFO, and LIFO procedures where appropriate.
• Ensuring proper warehouse layout, organization, and signage.
• Assigning duties and supervising casual labourers.

Warehouse Safety and Security

The Warehouse Officer will ensure that the warehouse remains secure and that unauthorized individuals are prevented from accessing the facility.

The successful candidate will implement clear safety procedures and ensure that warehouse buildings, fittings, and equipment are properly maintained.

The officer will also ensure that warehouses are regularly fumigated to control pests, rats, rodents, and other potential hazards.

Fire extinguishers must be properly maintained and periodically serviced.

Asset and Property Management

A significant part of the position involves ensuring that IRC assets are properly controlled and managed in line with organizational and donor-specific policies.

The officer will update asset registers and inventory lists and prepare monthly asset reports.

Any suspected violation of supply-chain policies or procedures must be promptly reported to the Supply Chain Manager.

The officer may also be assigned specific, time-bound supply-chain initiatives designed to improve operational performance and compliance.

Reporting Responsibilities

The officer will finalize monthly expendable-store reports showing stock movements and remaining balances.

The successful candidate will also prepare and submit accurate inventory and asset reports within established timelines and support the development and updating of warehouse material distribution plans.

Qualifications and Requirements

Applicants should have:

• A Diploma or Degree in a relevant field.
• At least 3 years of professional work experience.
• At least 3 years of experience in supply chain management.
• Strong knowledge of warehouse and inventory management.
• Good computer skills.
• Competence in Microsoft Word, Excel, PowerPoint, and Outlook.
• Strong numerical and mathematical skills.
